This Privacy Policy explains how we collect, use, store, and protect personal information when you contact us through our website, Facebook Page, Messenger chatbot, forms, phone, email, or other communication channels.

This policy is intended to comply with applicable privacy requirements, including the Philippine Data Privacy Act of 2012.

We may collect the following information when you contact us, request a quotation, book a site inspection, or communicate with our chatbot or staff:

  • Full name
  • Mobile number
  • Email address
  • Company or building name
  • Building address or project location
  • Service needed, such as FDAS, fire protection, kitchen hood suppression, FM-200, CCTV, access control, paging system, maintenance, or BFP compliance support
  • Details about your inquiry, building, project, inspection deadline, or service concern
  • Messages sent through our Facebook Page, Messenger chatbot, website forms, email, or other channels
  • Technical information from website use, such as browser type, device information, IP address, cookies, and basic analytics data, where applicable

We do not intentionally collect sensitive personal information unless it is necessary for a specific service request or required by law.

3. Messenger Chatbot And Facebook Page Communications

When you message our Facebook Page or chatbot, we may collect and process your Facebook sender ID, message content, contact details, location or project information, and service request details.

Our chatbot may provide automated replies, ask for basic contact details, identify the type of service needed, and route your inquiry to our staff. During operating hours, our staff may take over the conversation. Outside operating hours, the chatbot may collect your details and inform you that our staff will contact you once operations resume.

4. Legal Basis For Processing

We process personal information based on one or more of the following:

  • The need to respond to your inquiry or provide requested services
  • Legitimate business interests, such as customer support, lead handling, service coordination, and business records

10. Third-Party Platforms

When you interact with us through Facebook, Messenger, Instagram, Google, or other third-party platforms, those platforms may also collect and process your data under their own privacy policies. We encourage you to review their privacy notices.

11. Google Calendar And Operations Scheduling

North Point uses its self-hosted ERPNext system and the North Point ERPNext Calendar integration to coordinate installation and service appointments. Authorized staff schedule appointments in ERPNext. The integration creates, updates, and cancels corresponding events in the designated North Point Operations Google Calendar, which provides a calendar view and reminders. ERPNext remains the scheduling record; automatic imports from Google Calendar are disabled in this setup.

Appointment information sent to Google may include the customer or company name, appointment type, date and time, team and assigned staff, supervisor, site address, map link, scheduling notes, and a link to the related ERPNext record. Access to the linked ERPNext record requires appropriate ERPNext permissions.

The integration uses Google authorization credentials, calendar and event identifiers, and relevant calendar and event information to maintain the connection and update the corresponding appointments. The built-in integration requests a Google Calendar permission that can allow viewing, editing, sharing, and deleting calendars accessible to the authorizing account. Our configured scheduling workflow uses the designated North Point Operations calendar for the purposes described here; it does not automatically import other calendars into ERPNext.

Scheduling records and connection information are stored in our self-hosted ERPNext system. Google authorization secrets are stored using encrypted password storage. Appointment copies are stored by Google in the designated calendar. Access depends on ERPNext roles and the calendar’s sharing permissions. Authorized personnel and service providers may process this information as needed to operate and support scheduling. Google also processes information under its applicable terms and privacy policy.

Google user data accessed by this scheduling integration is used for the scheduling features described above, not for advertising, sale to data brokers, credit decisions, or training general-purpose artificial intelligence models. The integration’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.

Scheduling records are retained according to the Data Retention section of this policy. Cancelling an appointment retains its ERPNext history and marks the corresponding Google event as cancelled; it is not a request to erase all related records. The authorizing account holder can revoke access through Google Account connections. Revocation stops the integration’s future authorized access but does not automatically erase previously stored ERPNext records or calendar events. 12. Updates To This Policy

We may update this Privacy Policy from time to time to reflect changes in our services, systems, legal requirements, or business practices. The updated version will be posted on our website with a new effective date.
